Pickup sounds simple until the wedding week becomes a puzzle of vehicle space, protective packing and return deadlines. Setup sounds easier until you discover the venue’s window is tighter than expected. Compare the complete job, not just a line item.

When self-pickup makes sense

Pickup can suit a small number of durable, easy-to-carry pieces when you have a suitable vehicle and a dependable person who is not in the wedding party. Measure packed dimensions, not just display dimensions. Ask how fragile items are protected and whether containers must be returned.

Map both trips. Where will the items be kept before the wedding? Who drives them to the venue, places them, repacks them and returns them afterward? Build in time for traffic, parking and the venue’s loading rules.

When setup support matters

Delivery and setup may be appropriate for large, fragile or assembly-heavy pieces, intricate tablescapes or a venue with strict access rules. Clarify what “setup” includes: placing boxes in a room is different from styling a table or installing a backdrop.

Ask whether teardown and collection are included, when they occur, and who handles florals or personal items attached to rented decor. A supplier may reasonably have different scopes for delivery, installation, strike and pickup. Put each one in writing.

Compare total effort

Make two columns: supplier fees and human tasks. Add vehicle rental, parking, packing, helpers, late-night strike and the next-day return. Then decide whether the difference is worth the time it gives back to your people.
