A rental plan is more than a mood board and an order list. It is a chain of decisions about ownership, placement, condition and return. Keep those decisions in one document that your coordinator and helpers can actually use.

Before you request a quote

List zones before objects: ceremony, entrance, dining, bar, guestbook and any photo corner. Put each desired piece under a zone. Record approximate dimensions, quantities and the reason it belongs there. Distinguish must-haves from things you could happily skip.

Photograph the venue and gather its rules before asking for a piece that might not fit or be permitted. The venue question guide is a useful starting point.

Before you commit

For each supplier, check the exact items and quantities, rental period, condition expectations, deposit and damage terms, cancellation or change deadlines, tax and transport details. Clarify what happens if a proposed piece is unavailable. Keep approvals and revisions together.

Assign a setup location to every item on a floor plan. Note who will assemble, move, light, refill, extinguish or pack it. If the supplier sets up, ask precisely what is included; see pickup versus setup for the practical differences.

On the day and after

At delivery or pickup, count and photograph pieces, including any existing wear. Keep packaging in a known place. During strike, separate rented items from venue property, floral materials and personal keepsakes. Check small items such as votives and stands before leaving.
