A reception table is an environment, not a photograph. The menu, service style and conversation across the table should shape its decor as much as the color palette does.

Start with the floor plan

Ask for the exact table sizes and number of seats per table. A 60-inch round, an eight-foot banquet table and a long family-style run call for different centerpiece shapes. Confirm whether food will be plated, served family-style or set out on the table; shared platters require valuable clear space.

Before committing to chargers, runners or tall vessels, mock up one place setting at full scale. Include water glass, wine glass, flatware, bread plate and menu if using them. Leave space for guests to put down a phone or bag without shifting decor.

Layer without blocking the room

Choose one dominant visual layer, then support it. A textured linen might need only simple flowers and candlelight. A sculptural floral arrangement often reads best on a quieter cloth. Vary heights, but test whether seated guests can see each other across the centerpiece.

Check the venue’s policies before ordering candles; enclosed flames, LED alternatives or no flames may be required. Our candle safety guide covers placement and handling. Account for the lighting change from cocktail hour to dinner to dancing.

Make a sample table earn its keep

Lay out one complete setting and photograph it in daytime and warm evening light. Count every component, including items provided by the caterer or venue. Note what is being rented, purchased, supplied by another vendor or brought from home.

The sample table is where you discover if linens reach the floor, chair legs catch on draping, or napkins fight the place cards. Use the budget priorities guide to keep high-impact choices without paying for layers nobody notices.
